Systemic Solutions Consulting (“SSC”, “we”, “us” or “our”) respects your privacy and is committed to protecting your personal information.

This Privacy Policy explains how we collect, use, store and protect personal information when you use our website, contact us, use the 5×5 Model assessment, or choose to receive communications from us.

1. Information We Collect

We may collect personal information that you provide voluntarily, including your:

role or job title;
organisation;
information you provide when contacting or corresponding with us; and
marketing and communication preferences.

When you complete the 5×5 Model assessment, you also provide responses to the assessment questions. Those responses are processed to calculate and generate your personalised 5×5 Profile Report.

We may also collect technical and usage information associated with your use of our website, such as IP address, browser or device information and website usage information. Some of this information may be collected through cookies or similar technologies. Further information about cookies should be provided through the website's cookie information and consent controls where applicable.

2. How We Use Your Information

We may process your personal information to:

provide information, services or resources you request;
respond to enquiries and communicate with you;
operate and improve our website and services;
generate your personalised 5×5 Profile Report when you choose to complete the assessment;
maintain appropriate business and administrative records;

If you choose to receive email communications, these may include 5×5 and leadership and team development ideas, articles, resources, workshops and related updates.

You can unsubscribe from marketing communications at any time.

3. The 5×5 Model Assessment

When you complete the 5×5 Model assessment, we ask you to provide your name, email address, role and organisation together with your responses to the assessment questions.

This information is used to generate your personalised 5×5 Profile Report.

In the current version of the assessment, your assessment responses, scoring data and personalised report are processed within the assessment application and are not submitted to Systemic Solutions Consulting for storage in our CRM or other participant-record system.

You are responsible for saving a copy of your report if you wish to retain it.

We do not use your individual assessment responses, scores or personalised report for marketing purposes.

If this processing or storage arrangement changes in the future, we will update this Privacy Policy and the information presented to participants as appropriate.

4. Marketing and Keeping in Touch

Completing the 5×5 Model assessment does not automatically subscribe you to marketing communications.

Where we invite you to keep in touch, you will be given a separate choice about whether you would like to receive emails from Systemic Solutions Consulting.

Where you give your consent, we may send you emails containing 5×5 and leadership and team development ideas, articles, resources, workshops and related updates.

You can withdraw your consent or unsubscribe at any time using the unsubscribe facility provided in our communications or by contacting us.

Declining marketing communications does not prevent you from completing the 5×5 Model assessment or receiving your report.

5. Legal Bases for Processing

We process personal information only where we have an appropriate legal basis under applicable data protection law.

Depending on the circumstances, this may include:

Consent — where you have made a specific choice to allow particular processing, including where applicable receiving email marketing communications. You may withdraw your consent at any time.

Our website and associated contact or subscription functions may use services provided through Wix. Information that you submit to a Wix-hosted contact or subscription form may therefore be processed and stored using Wix services.

If our business or relevant assets are transferred to another organisation, personal information may be transferred as part of that transaction subject to applicable data-protection requirements.

Where you have chosen to receive marketing communications, we may retain the information necessary to manage your subscription and communication preferences until you unsubscribe or the information is no longer required. We may retain limited information where necessary to ensure that an unsubscribe request continues to be respected.

As described above, the current 5×5 assessment application does not retain your individual assessment responses, scoring data or personalised report in an SSC participant-record or CRM system.

We take appropriate technical and organisational measures designed to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.

No internet transmission or electronic storage system can be guaranteed to be completely secure, but we take measures appropriate to the nature and risk of the information we process.

10. Your Data Protection Rights

Depending on the circumstances and applicable law, you may have rights relating to your personal information, including rights to:

request access to personal information we hold about you;
request correction of inaccurate or incomplete information;
request erasure of your information in certain circumstances;
request restriction of processing in certain circumstances;

You also have the right to complain to the Information Commissioner's Office (ICO) if you have concerns about how your personal information has been handled.
